Directions for the Preparation and Transmission of Electronic Materials

Notice
When using the Electronic Submission System, the maximum file size for each manuscript data (PDF) is 3 MB (including artworks). If you need to upload PDF files over this limit, especially for graphics of high resolution, please notify to the CSJ Editorial Office beforehand, and send it to us as E-mail attachments.
How to Prepare Electronic Data
Manuscript Text
- Include text, references and notes, captions for figure and table, as a part of a single PDF file. Adobe Acrobat can merge PDF files.
- We recommend the use of Times and Symbol fonts only.
Artwork (Figures, Charts, Schemes, Tables, Graphical Abstract, and other graphics)
- Authors are required to embed graphic files into the text file in any of the allowed formats.
We thus encourage submission of one complete manuscript file containing text, tables, and all figures. In general, line drawings
and simple graphics can be pasted into a Microsoft Word or WordPerfect file without loss of resolution. This is not the
case for halftones or complicated graphics, and these files should be sent separately.
- If submitting files separately, either include all figures with the text or no figures with the text.
- Graphic files should be sized to fit on 1 page (A4 or letter size 8.5" by 11") at a resolution of no higher than 300 dots per
inch (dpi). Higher resolution files will be requested upon acceptance for publication. Keep in mind that colors will appear differently on
different screens or printers.
- Each figure should be complete and contain all of the figure parts.
- Photoshop files should be saved as *.ps or *.eps.
Note: Adobe Photoshop supports export to the PDF format in ver. 5.0.
Adobe Illustrator also supports export to PDF format in ver. 7.0.
Supporting Information
- CIF files: Manuscripts reporting the determination of one or more structures by X-ray diffraction must adhere to the Crystallographic Information Files (CIF). Please prepare the CIF file and authors are requested to deposit all the X-ray data in the Crystallographic Information File (CIF) format electronically to the Cambridge Crystallographic Data Centre for each structure reported after receiving notification of the manuscript's acceptance by Chemistry Letters. After deposition, please submit a registry number to the Editorial Office at the proofreading. The registry number should be included with the following standard text in a "References and Notes" in the manuscript:
Crystallographic data reported in this manuscript have been deposited with Cambridge Crystallographic Data Centre as supplementary publication no. CCDC-000000. Copies of the data can be obtained free of charge via www.ccdc.cam.ac.uk/conts/retrieving.html (or from the Cambridge Crystallographic Data Centre, 12, Union Road, Cambridge, CB2 1EZ, UK; fax: +44 1223 336033; or deposit@ccdc.cam.ac.uk).

- Other Info: Authors can submit supporting information other than CIF files. If you need to submit additional information/artworks to verify or support the data presented in the paper and copies of papers that are related to your submission (or that are submitted to other journals but not yet published), please include them in a single file and submit it via the Electronic Submission System. For the time being, available upload file formats are listed below:
- PDF (Portable Document Format)
- CDX (ChemDraw Exchange Format)
- DOC (Microsoft Word File)
- XLS (Microsoft Excel File)
- PPT (Microsoft Power Point File)
How to Save the PDF in Acceptable Formats
- Below are some tips on how to create PDF files in the acceptable formats.
- Creation of *.pdf files normally requires Adobe Acrobat or another PDF writing engine.
- We strongly recommend to avoid the use of Adobe PDF Writer. Use Adobe Acrobat Distiller to create proper PDF files.
- Make sure to embed fonts when creating PDF files.
Naming Files
- Our Electronic Submission System can handle only properly formatted electronic files with the correct extension designating the file type.
For Initial Submission
- Submitted Manuscript: PDF format
- Covering Letter: PDF format
- Other Supporting Information:[PDF, CDX, DOC, XEL, PPT] formats
For Submission of Revised Manuscript
- Revised Manuscript: PDF format
- Response Sheet: PDF format
- Other Supporting Information:[PDF, CDX, DOC, XEL, PPT] formats
- The below mentioned characters are not permitted to be used for naming files.
- double-byte characters
- %, [, ], ', ", &, \, $, @, *, /.
- blank space
- Name all files starting with the last name of the first author. Follow this by an indication
of whether this is the text or cover letter (add "letter") or Supporting Information (add
"si"). The file name ends with the extension.
- Examples of acceptable file names are:
- tanakatext.pdf
- tanakaletter.pdf
- tanakasi.pdf
File Size Limit
- We have put a limit of 3MB on file uploads for the manuscript, so collectively the text and figure files should all be less than this limit (for non-template users). If your manuscript is of larger size, please send them by E-mail attachment after corresponing with the editorial office.
- We have put a limit of 3MB for each the Covering Letter and Supporting Information.
How to Transmit Electronic Materials
- Manuscript data (PDF) can be submitted via the Internet. Please visit the
Electronic Submission System Site
- If you have any problems uploading your PDF files, please select an alternate way of submission between the following:
(1) Send your PDF to the CSJ Editorial Office by E-mail.
(2) Save your PDF on any electronic media, and send it to the CSJ Editorial Office by post.
- If you need to submit supporting material electronicall with your manuscript (e.g., information on previosly submitted papers), please follow the instructions above.
